ROLE OBJECTIVE
PAs need extensive knowledge of their organization’s set up and what the organization’s aims and objectives are. Discretion and confidentiality are essential attributes for a successful PA to possess.
AREAS OF RESPONSIBILITY
1. First point of contact with people from inside and outside the organization. Typical work activities include:
Screening telephone calls, enquiries and requests, and handling them when appropriate.
Welcoming and looking after visitors.
Organizing and maintaining diaries and making appointments.
Segregating the incoming emails, faxes and post
Should be able to draft and send emails, faxes and post based on the Director’s notes
Segregating the correspondence, writing letters, taking dictation and minutes
Filing of documents, reports and presentations
Carrying out background research and presenting findings for subjects the Director(s) is dealing with.
Organizing and attending meetings, and ensuring the Director(s) is well-prepared for meetings.
Liaising with clients, suppliers and other staff
Devising and maintaining office systems to deal efficiently with paper flow.
Organizing and storing paperwork, documents and computer-based information.
Arranging travel and accommodation and, occasionally, traveling with the Director(s) to take notes or dictation at meetings, or to provide general assistance during presentations.
2. Additional duties may include:
Carrying out specific projects and research
Responsibility for accounts and budgets
MINIMUM REQUIREMENTS
Level of Education − Graduate in any discipline
Technical Skills − Knowledge of MS Office, including Word, Excel, PowerPoint and Outlook
Other Essential Skills − Computer literate
− Good Communication skills (verbal as well as written)
Experience − 6 years
KEY RESULT AREAS
1. Assist and coordinate with all functions for the Director’s meetings and other day-to-day activities.
2. Manage records, takes minutes of the meetings, handle correspondences and Support Director.
3. Coordinating with internal as well external interfaces
4. Inter-functional meetings coordination & seminars / conference coordination.
